AgriWare Operations

AgriWare Ltd (“AgriWare”, “we”, “us”, or “our”) operates the AgriWare Operations mobile application (the “App”). This Privacy Policy explains how we collect, use, store and protect information about users of the App.

By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the App.

1. Who we are

AgriWare Ltd is a company registered in England and Wales. We develop and operate agricultural operations management software for farms and agricultural organisations across the United Kingdom and Europe.

2. Information we collect

We collect the following types of information when you use the App:

Account information

• Full name
• Email address
• Phone number
• Role and organisation
• Supervisor contact details
• Emergency contact details

Location data

• GPS coordinates are recorded at the time of daily vehicle inspections and fault reports
• Location is also used during crash detection events
• We collect location only when you actively submit an inspection or fault report, or when a crash detection event is triggered

Photos and media

• Photos taken during daily vehicle inspections (for failed checklist items)
• Photos taken when logging machine faults
• Photos are stored securely in Firebase Storage and linked to your organisation’s records

Inspection and operational data

• Daily vehicle inspection results (pass/fail status for each checklist item)
• Engine hours readings
• Fault descriptions and reports
• Machine assignment and usage records

Device and technical data

• Firebase Cloud Messaging (FCM) token — used to send push notifications including peer safety alerts
• Accelerometer data — used locally on your device only for crash detection; raw sensor data is never transmitted

3. How we use your information

We use the information we collect to:

• Provide and operate the AgriWare Operations App
• Record and store daily vehicle inspections and fault reports on behalf of your organisation
• Forward inspection and fault data to your organisation’s AgriWare SaaS account
• Send peer safety alerts to colleagues within your organisation in emergency situations
• Display your profile information within the App
• Authenticate your identity and maintain your session
• Improve the App and fix technical issues

4. How we store your information

Your data is stored using Google Firebase, with servers located in the European Union (europe-west2, London region). We use Firebase Authentication, Firestore, and Firebase Storage.

All data is encrypted in transit using HTTPS and at rest using Google’s standard encryption.

Access to your data is restricted to authenticated users within your organisation only. Users from one organisation cannot access data belonging to another organisation.

5. Data sharing

We do not sell your personal data to third parties.

We share data in the following circumstances:

• Within your organisation — inspection results, fault reports and machine data are visible to supervisors and administrators within your organisation
• AgriWare SaaS platform — inspection and fault data is forwarded to your organisation’s AgriWare account for record keeping and compliance
• Google Firebase — we use Firebase as our backend infrastructure provider. Google’s privacy policy applies to data processed through Firebase
• Legal requirements — we may disclose your information if required to do so by law or in response to valid requests by public authorities

6. Push notifications

The App uses Firebase Cloud Messaging to send push notifications. These include peer safety alerts sent by colleagues within your organisation in emergency situations. You can manage notification permissions through your device settings.

7. Crash detection

The App includes an optional crash detection feature that uses your device’s accelerometer sensor to detect potential vehicle incidents. If a potential crash is detected, the App may alert your colleagues within your organisation. Raw accelerometer data is processed entirely on your device and is never transmitted to our servers. You can disable crash detection at any time in the App’s profile settings.

8. Data retention

We retain your personal data for as long as your account is active or as required by your organisation’s compliance obligations. Inspection and fault records may be retained for up to 7 years in line with health and safety record-keeping requirements.

You may request deletion of your account and associated data by contacting privacy@agriware.uk.

9. Your rights

Under UK GDPR and the Data Protection Act 2018, you have the following rights:

• Right of access — you can request a copy of the personal data we hold about you
• Right to rectification — you can request correction of inaccurate data
• Right to erasure — you can request deletion of your data in certain circumstances
• Right to restrict processing — you can request that we limit how we use your data
• Right to data portability — you can request a copy of your data in a portable format
• Right to object — you can object to certain types of processing

10. Children’s privacy

The App is intended for use by adults in a professional capacity. We do not knowingly collect personal information from anyone under the age of 16.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify users of any significant changes through the App or by email. The date at the top of this page indicates when the policy was last updated.
